Notion Quick Capture: How to Capture Notes Faster (iPhone, iPad and Desktop)

Notion quick capture means getting a thought into Notion before it slips, without waiting for a workspace to load and hunting for the right page. Notion is great for organizing. It’s slower when you only want to jot one line. This page covers what Notion does on its own, where that falls short, and apps that add quick notes to Notion without opening it.

Ways Notion’s own app lets you capture quickly

New page

On iPhone, tap the new page button at the bottom of the screen. On desktop, press Cmd+N (Ctrl+N on Windows) or click the new page button at the top of the sidebar. The page lands where Notion puts new pages, so you file it later.

Share sheet (iPhone and iPad)

The share sheet is Notion’s mobile web clipper. It saves web pages from Safari or Chrome, and photos from your camera roll.

  1. Tap Share. If Notion isn’t there, tap More and turn it on.
  2. Tap Notion, give the page a title, and choose the workspace.
  3. Under Add to, pick a page or a database, then tap Save.

Clipping into a database fills in the URL automatically. You can’t add tags while clipping; open the page in Notion to set properties. Sharing from apps other than a browser or your photos may not work.

Shortcuts

Notion adds actions to Apple Shortcuts: Create a page, Add text to a page, Search in Notion and Open a page. Build a Shortcut that asks for text and runs Create a page in an inbox database, then add it to your Home Screen, Lock Screen or Action Button, or start it with Siri.

Widgets

Notion’s iPhone and iPad widgets are Home Screen widgets: Page opens a page or database you choose, Favorites and Recents list pages, and AI shortcuts opens Notion AI chat, camera or voice. They open Notion; none of them is a text box for a quick note.

Desktop and Web Clipper

The Notion desktop app has Command Search: a keyboard shortcut you can change, plus a menu bar icon on Mac, that searches Notion or asks Notion AI without switching to the Notion window. It’s for finding things, not writing a new note. To write, switch to Notion and press Cmd+N.

Web Clipper is a browser extension for Chrome and Safari. Click the Notion button next to the address bar, pick a workspace and a page or database (or create a new links database), and save.

Where Notion’s built-in capture falls short

  • Most built-in paths open Notion first: the new page button, widgets and the share sheet. On a big workspace you wait before you can type.
  • No Notion widget opens straight to a text box.
  • The share sheet can’t set tags or properties while you clip.
  • On the Mac, Command Search finds pages but doesn’t take a quick note from another app.
  • Voice: a Shortcut with dictation sends text, not audio.

Third-party apps for Notion quick capture

These apps add notes to Notion from their own capture screen or widgets, so you don’t wait for Notion to load.

Quick Notes - Supasend

Quick Notes - Supasend opens to a blank capture screen and sends the note to Notion without opening Notion. It covers what Notion’s own paths don’t: a widget that opens straight to the keyboard, plus voice, photos and scans. You can start it from Lock Screen and Home Screen widgets, the Action Button, the share sheet, Siri or Shortcuts. The same box also sends to your other second-brain apps, which helps if Notion isn’t the only place your notes live.

Instant Note for Notion

Instant Note for Notion is built for one job: a tagged note into a Notion database. It signs in with Notion’s own login and queues notes when you’re offline, then sends them later. Start it from its Lock Screen or Home Screen widget.

Nutshell: Widgets for Notion

Nutshell turns your Notion databases into a quick-entry sheet and Home Screen widgets. Use it when you add rows to the same few databases all day.

Funnel - Quick Capture

Funnel sends each capture to a Notion database: the first line becomes the page title and the rest goes inside the page. It also sends to task managers and other notes apps, so one capture box can cover Notion and your to-do list. Start it from Lock Screen and Home Screen widgets, Control Center, the Action Button, Siri or Shortcuts. It’s iPhone only.

Which way to capture should you use?

  • Already in Notion on the desktop: Cmd+N.
  • A link or photo on your phone: the share sheet, into an inbox database.
  • A short thought, text only, no extra app: a Shortcut with Create a page, on the Lock Screen or Action Button.
  • A quick note without waiting for Notion to load: Quick Notes - Supasend, which also takes voice, photos and scans. Instant Note for Notion if you only need tagged text in one database.
  • Rows into databases you use all day: Nutshell.
  • Notion plus a task manager from one capture box: Funnel.
  • Saving web pages on the Mac: Web Clipper.

Notion quick capture FAQ

How do I quick capture in Notion on iPhone?

Build a Shortcut with Notion's Create a page action, point it at an inbox database, and run it from the Home Screen, Lock Screen or Siri. To save a link or photo, use the share sheet and pick a page or database. For a capture box that opens straight to the keyboard, use an app such as Quick Notes - Supasend or Instant Note for Notion.

Does Notion have an inbox for quick notes?

Not for notes. Notion's Inbox, at the top of the sidebar, holds notifications: mentions, comment replies, reminders and page invites. For quick notes, make a simple database called Inbox, send every capture there, and sort it once a week.

How do I quick add a page to a Notion database?

On desktop, open the database and add a new page, or press Cmd+N for a new page. On iPhone, the Create a page action in Shortcuts can target a database, and the share sheet lets you choose a database to add a link or photo to. Instant Note for Notion and Nutshell add rows to a database from their own entry screens.

Is there a Notion Lock Screen widget?

Notion's own widgets are Home Screen widgets: Page, Favorites, Recents and AI shortcuts. To capture from the Lock Screen, put a Shortcut that runs Create a page there, or use an app with its own Lock Screen widget, such as Instant Note for Notion or Quick Notes - Supasend.

Can I send voice notes to Notion?

Dictation in a Shortcut turns speech into text before it reaches Notion. Quick Notes - Supasend captures voice and sends it to Notion.

What's the best web clipper for Notion?

Notion's own Web Clipper. On a Mac it's a browser extension for Chrome and Safari that saves a page to a workspace, page or database you pick, and adds the page URL when you clip into a database. On iPhone and iPad it works through the share sheet in Safari or Chrome.
